Demand Crossings Configuration

How to Configure Demand Crossings in Inmovilla

Configuring demand crossings in Inmovilla is essential to precisely define which properties can be associated with each buyer or tenant client. This configuration represents a key strategic decision that allows controlling the source of opportunities and ensuring that demands receive properties aligned with the agency's commercial policy. Available sources include own properties, properties shared through professional circles or MLS, specific collaborators, and the CRM pool.

Proper configuration not only optimizes the quality of proposals sent but also prevents saturation with unwanted or irrelevant properties, thereby improving the client experience and the efficiency of the sales team.

What Are Demand Crossings

A demand crossing is the match between the criteria and requirements registered in a specific demand and the properties available in the system. Demand configuration determines from which sources those matching properties will be drawn, directly influencing the variety and quality of the opportunities presented.

For example, a demand may be limited exclusively to the agency's own inventory or, alternatively, expanded to include properties shared by collaborators, professional circles, MLS networks, and the CRM pool, depending on the client's needs and commercial strategy.

Where to Configure the Source of Crossings

The source configuration of crossings is done from the individual record of each demand. The general procedure is as follows:

  • • Access the Demands section from the Inmovilla side menu.

  • • Open the record of the client whose demand you want to review or modify.

  • • Go to the Crossings Configuration section, also accessible from the top navigation within the record.

  • • Review the current configuration in view mode to evaluate active sources.

  • • Click Edit to adjust property sources, select exclusive collaborators, or modify automatic sending options.

In view mode, it is possible to quickly verify if a demand is configured to receive only own properties or if it includes other sources.

Available Options to Perform Crossings with Properties

The Perform crossings with field determines the general scope of matches and must be selected carefully, considering the client type, current collaboration agreements, and the level of control the agency wants to maintain over proposals.

My properties without automatic sending

This option restricts matches exclusively to the agency's own properties but disables automatic sending for that demand, even if the agency has this sending enabled by default.

It is especially useful when the client prefers the selection to be manually reviewed before receiving proposals or when the demand is in an initial qualification phase.

My properties

The demand crosses only with the agency's internal inventory. In this case, automatic proposal sending will depend on the general configuration set at the agency level.

This alternative is ideal to prioritise exclusively the own portfolio, ensuring strict control over the properties offered.

My properties and my MLS circles

This option expands matches to include both own properties and those available through the MLS circles or associations in which the agency participates.

It allows increasing alternatives without yet incorporating all external collaborators, facilitating more controlled and strategic management.

My properties, my MLS circles, and collaborators

In addition to own properties and MLS circles, this configuration includes the inventory of specific collaborating agencies. It is especially useful when there are bilateral or multilateral agreements outside formal circles.

My properties, circles, collaborators, and CRM pool

This is the broadest option and covers own properties, those shared in circles, collaborators' properties, and those published in the CRM pool.

The CRM pool groups properties available to all Inmovilla agencies without restrictions or prior controls on each listing. Therefore, before selecting this alternative, it is advisable to evaluate whether such a broad scope fits the demand and the agency's commercial strategy.

How to Choose the Best Property Source for Each Client

Not all demands require the same level of openness or access to external sources. A practical way to decide is to relate the scope of crossings to the client's maturity level and the desired control over the proposals sent.

  • Client in validation phase: it is recommended to use own properties without automatic sending, to manually review options before sharing them.

  • Very specific demand: it is advisable to expand to MLS circles or collaborators if the internal inventory does not offer enough alternatives.

  • Client with high urgency or open search: the broadest scope can be considered, including the CRM pool, provided that the selection and validation of proposals can be properly managed.

  • Preferred commercial relationship: combine a limited configuration with specific collaborators that are especially relevant for that particular demand.

The main goal is not to maximise the number of matches but to ensure that the options presented are commercially viable and aligned with the agency's strategy.

How to Include Properties from a Specific Collaborator

Inmovilla allows defining exclusive crossings with properties from specific collaborators. This feature facilitates adding specific collaborators to a demand without enabling the entire network of available collaborators.

For example, it is possible to configure a demand to cross only with own properties and, additionally, with the inventory of a selected collaborating agency.

To apply this configuration:

  • • Access the demand record and activate edit mode.

  • • Locate the field exclusive crossings with collaborator properties.

  • • Search for and select the collaborator you want to include.

  • • Save the changes made in the record.

This functionality allows working selectively and strategically, avoiding incorporating the entire collaborator network in each demand.

How to Attach a Consulted Property to a Demand

A demand can also include specific properties that the client has previously consulted. This option is especially useful when the client mentions a specific reference, has requested information about an agency property, or wants their interest formally recorded.

When attaching a property from the property searcher, it is linked as consulted within the demand, functioning as a forced crossing. This means it is added directly, even if it does not meet the usual automatic matching criteria.

To register a consulted property, follow these steps:

  • • Open the corresponding demand.

  • • Access the crossings configuration in edit mode.

  • • Select the option to attach consulted properties.

  • • Search for the property by its reference or other available criteria.

  • • Select the property and confirm the action.

  • • Verify that the reference is correctly recorded in the demand.

How to Prevent a Demand from Receiving Properties Automatically

The selector Do not send properties automatically prevents matches generated by the demand from being sent automatically to the client.

This option is a priority when the agency has an automatic sending system enabled by default but wants certain demands to be managed personally.

Situations where it is advisable to use this option include:

  • • Clients who do not want to receive properties automatically.

  • • Demands pending completion of information or validation of requirements.

  • • Cases where only a specific property consulted by the client is to be managed.

  • • When the sales team needs to review and approve each proposal before sending it.

Disabling automatic sending does not prevent demand management or match registration; it simply avoids proposals being sent without prior supervision.

Set the Default Value for New Demands

The source of crossings that appears by default when creating a new demand can be configured globally for the entire agency. This feature is especially useful to maintain a homogeneous policy and minimise the need for repetitive manual adjustments.

To access this configuration, go to the Settings area, within Options and in the Automation section. Access to these options depends on the permissions assigned to each user.

The process to modify the default value is as follows:

  • • Access Settings from the side menu.

  • • Enter Options.

  • • Locate the automation section related to the properties offered by default to demanders.

  • • Select the default scope: own properties, circles, collaborators, CRM pool, or any available combination.

  • • Save the configuration made.

  • • Log out and log back in for the changes to apply correctly.

The automation option determines the initial scope of crossings when creating new demands, facilitating consistent and efficient management.

After saving and restarting the session, all manually created demands will adopt this initial configuration, although each record can be adjusted individually according to particular needs.

Common Errors When Configuring Crossings in Inmovilla

Leaving the Default Option Without Reviewing It

By default, the system usually works only with own properties. If the intention is to include circles, collaborators, or the CRM pool, it is essential to explicitly modify this configuration in each demand or in the general settings to avoid unwanted limitations.

Confusing the Source of Crossings with Automatic Sending

These are two related but distinct settings. The source of crossings defines which properties can generate matches, while automatic sending determines if those matches are sent directly to the client without prior intervention.

Opening All Sources Without Evaluating Proposal Quality

A broader scope can generate more opportunities but also implies a greater commercial review workload. The CRM pool, being the most extensive source, should only be selected when its inclusion is consistent with the client's profile and the agency's working method.

Forgetting Strategic Collaborators

When a demand requires properties from a specific collaborator, it is not necessary to enable the entire collaborator network. Exclusive selection allows incorporating only those collaborators who add real value to the demand.

Not Saving or Restarting the Session After Changing Automation

When modifying default automation values, it is crucial to save the configuration and restart the session for changes to be properly reflected in new demands.

Checklist Before Saving a Demand

  • • Should the client receive only own properties or also shared properties?

  • • Is it advisable to include MLS circles, collaborators, or the CRM pool?

  • • Is there any specific collaborator that should participate in the crossings?

  • • Is there any property already consulted that should be attached to the demand?

  • • Does the client accept automatic sending or prefer manual validation of proposals?

  • • Is the selected configuration aligned with the agency's default policy?

Conclusion

Demand crossings configuration in Inmovilla offers detailed control over the sources of properties associated with each client, allowing the offer to be adapted to the specific characteristics and needs of each demand.

By properly adjusting sources, selecting strategic collaborators, registering consulted properties, and managing automatic sending, a more orderly, efficient, and relevant commercial management is achieved.

Reviewing this configuration in each demand from its creation maximises the use of available opportunities without losing control over the properties proposed and ensuring an optimal experience for the client and the sales team.
