Corrective Invoice

How to issue a corrective invoice in Inmovilla

In Inmovilla, an invoice that has already been activated cannot be modified directly. When it is necessary to correct recipient data or adjust amounts, the proper procedure is to generate a corrective invoice linked to the original document, thus ensuring traceability and legal compliance.

This detailed guide will show you how to locate existing corrective invoices, when to choose to issue a corrective credit note or a corrective invoice, and how to correctly complete the correction process starting from the original invoice that requires adjustments.

Concept and function of a corrective invoice in Inmovilla

A corrective invoice is an official document that allows correcting a previously activated invoice without altering the original document. The original invoice remains as an unalterable reference, while the corrective invoice is associated with it, thus preserving the documentary relationship and facilitating auditing and accounting tracking.

Inmovilla includes a specific section in the accounting panel called Correctives, which allows you to consult all issued corrective invoices. In this list, you can verify the status of each document, distinguishing between drafts and active invoices.

It is important to highlight that the creation of a corrective invoice is not done from this list, but must be initiated from the record of the original invoice that requires correction.

Pre-verification: check the status of the original invoice

Before proceeding to issue a corrective invoice, it is essential to confirm the status of the original invoice:

  • Invoice in draft: It can be edited directly without the need to issue a corrective invoice.

  • Active invoice: To modify it, it is essential to use the correction function, as the original document is not editable after activation.

Activation is a crucial step, since once invoices, credit notes, and corrective invoices are activated, they are automatically sent to the Tax Agency from Inmovilla. Therefore, modifying the original document after this process is not allowed.

It is recommended to thoroughly review all data before activating a corrective invoice, including contact information, invoice lines, quantities, prices, and total amounts, to avoid later errors.

Location and consultation of corrective invoices

To access and review already issued corrective invoices, follow this path within the Inmovilla accounting panel:

  • Access Utilities in the left sidebar.

  • Select the Accounting option.

  • Click on Correctives.

This space will allow you to locate all existing corrective invoices and check their current status. It is worth noting that this view is designed exclusively for control and monitoring, not for initiating new corrections.

Detailed procedure to create a corrective invoice

The creation of a corrective invoice is done directly from the original active invoice that requires correction. Follow these precise steps to complete the process:

  1. Access the Invoices section within the accounting panel.

  2. Locate and open the active invoice containing the data or amount that must be corrected.

  3. Click on Actions, located at the top right of the record.

  4. Select the Correct invoice option.

  5. Carefully read the informational notice that will appear and choose the appropriate document type: credit note or corrective invoice.

  6. Complete or modify the necessary data in the generated corrective document.

  7. Save the corrective invoice.

  8. Carefully review the lines and amounts, confirm that the link with the original invoice is correct, and activate the corrective invoice only when all data is accurate.

When selecting the correction action, Inmovilla will display a notice explaining the scope of the correction and the available alternatives. This confirmation is essential to differentiate between a simple amount adjustment and a broader correction that also affects other data.

Before continuing, Inmovilla requests selecting between a credit note and a corrective invoice, depending on the nature of the correction.

Credit note or corrective invoice: criteria for proper selection

The choice between issuing a credit note or a corrective invoice will depend on the type of correction you want to make regarding the original invoice.

When to use a credit note

The credit note is the appropriate option when it is necessary to decrease the originally invoiced amount. It is suitable for corrections involving a reduction in quantity or invoiced value, reflecting a return or subsequent discount.

When to use a corrective invoice

The corrective invoice is more versatile, as it allows correcting both recipient data and adjusting amounts. When the correction involves a decrease in quantities, the corresponding lines must be recorded with negative amounts to properly reflect the adjustment.

For example, if an invoice was issued to an incorrect contact, a corrective invoice must be generated to select the correct contact and complete the necessary information for that new recipient.

Procedure to correct the invoiced contact

One of the most frequent uses of the corrective invoice is to modify the contact associated with an active invoice. After creating the corrective document, select the correct contact and complete the necessary data if the record is incomplete.

  • Verify that the new contact is the correct and authorized recipient.

  • Thoroughly review the required information in the contact record.

  • Save the changes made before continuing with the editing of the corrective invoice lines.

How to enter negative lines and amounts in the corrective invoice

When the corrective invoice involves a reduction of the original amount, it is essential to enter lines with negative values to properly reflect the accounting adjustment. In each line, fields such as quantity and unit price must be specified.

For example, to adjust one unit valued at 200 euros, the data would be entered as follows:

  • Quantity: 1.

  • Price: -200.

With this information, Inmovilla will automatically calculate the total base of the corrective invoice. Before activating the document, it is essential to review that the total amount is consistent with the required adjustment.

Verification of the link with the original invoice

Once the corrective invoice is created, it is essential to check in the corrective data section that the document is correctly linked to the original invoice. This association ensures that the correction has been made on the appropriate document and that the relationship between both is recorded and visible in the accounting panel.

Considerations if the invoice already has a corrective invoice

When an original invoice already has a corrective invoice issued, Inmovilla disables the option to correct that original invoice again to avoid inconsistencies. If an additional correction is necessary, it must be made on the previously issued corrective invoice, not on the original invoice.

Final activation of the corrective invoice

After saving the corrective document, it may remain in draft status for review and additional adjustments. Only when it has been verified that all data, lines, and amounts are correct should the corrective invoice be activated.

Activation means that the corrective invoice is officially issued and linked to the original invoice. Keep in mind that once activated, the corrective invoice cannot be edited. Therefore, it is recommended to perform the following checks before activation:

  • Confirm that the selected document type is correct.

  • Verify that the contact and its data are complete and accurate.

  • Review that negative amounts are correctly reflected in the corresponding lines.

  • Validate that the calculated total base corresponds to the desired adjustment.

  • Ensure that the link with the original invoice appears correctly in the corrective data.

Summary of the procedure to issue a corrective invoice in Inmovilla

To issue a corrective invoice in Inmovilla, open the active invoice that requires correction, access the Actions menu, and select Correct invoice. Choose between the credit note or corrective invoice option, update the necessary data or amounts, save the document, check the link with the original invoice, and activate the corrective invoice only after a thorough review.
