Lists in Inmovilla
Complete guide to configuring the CRM lists in Inmovilla
The Lists module is one of the most powerful and versatile configuration tools in the Inmovilla CRM, designed to adapt the platform to the daily and specific operations of each real estate agency. From this section, it is possible to define which options will be available, which should be hidden to optimize workflow, and how we want them to be visually identified through custom icons and colours.
This configuration impacts multiple areas of the CRM, including follow-ups, qualities, properties, and the agenda, so dedicating time to properly organise this section before intensive use of lists and records is essential to ensure efficient and consistent management.
Accessing the Lists section
To access this section within the Inmovilla platform, follow these steps:
• Navigate to Settings, located at the bottom of the left sidebar.
• Select the Lists section.
Upon entering, a dynamic table will be displayed containing all available lists along with their respective configuration options, facilitating the review and customisation of each element.
The central table allows detailed and agile management of configurable options in each CRM list.
Detailed description of the lists table
The table presents several key columns that facilitate identification and control of each element within the configurable lists:
Name: shows the visible name of the option within the CRM, facilitating its recognition.
Internal: indicates those values that are proprietary and managed internally by the system.
Hidden: indicates if an option has been deactivated so it does not appear during daily use, optimising the interface.
Icon: allows assigning a visual symbol that facilitates quick identification of the element.
At the top of the table are the filter fields, which by default usually show the list of follow-up types, since it is one of the most used configurations with the greatest variety of options within the CRM.
Configuring follow-up types
Follow-up types are fundamental categories to record and document daily commercial activity, including calls, appointments, visits, contracts, operations, and other interactions with clients or owners.
The configuration is intuitive: if a follow-up type is not relevant to the agency's operations, it can be hidden to avoid cluttering dropdown menus and prevent confusion when registering new actions.
For example, follow-ups such as earnest money operation, shared operation, customised, or cancelled contract can remain hidden if not regularly used.
Effects of hiding a follow-up type
Hiding an option not only changes its display in the table but also prevents that option from appearing in selectors when registering a new activity, ensuring a cleaner and more focused working environment.
Therefore, it is important to carefully evaluate each hiding. We recommend keeping basic and most frequent follow-ups visible to ensure complete and consistent documentation, such as:
Note
Visit
Appointment
These types are essential for the sales team to record their daily activity clearly and consistently.
Procedure to edit an option within a list
To make modifications to any element, select the desired option in the list and click the Edit button located at the top of the screen.
From edit mode, you can manage various features that vary depending on the list type:
• Hide or show the element again in the CRM.
• Configure the exclusion of the element in exports to Google.
• Define a follow-up as a visit, facilitating its classification.
• Assign a representative icon for quick visual identification.
• Select an identifying colour that facilitates differentiation in the agenda and other modules.
These options go beyond simply showing or hiding values, providing clarity and efficiency in interpreting information in the team's daily work.
Importance of icons and colours for quick follow-up identification
The use of icons and colours is especially relevant in follow-ups managed as visits, as it facilitates immediate visual distinction of each activity type within the agenda.
This functionality is particularly useful when analysing the productivity and scheduling of multiple salespeople simultaneously. Instead of reviewing each record individually, it is possible to instantly identify whether it is a visit, appointment, or another type of follow-up thanks to the established visual coding.
The key to maximising this advantage is maintaining a uniform logic in assigning icons and colours: for example, assigning a specific colour and icon for visits and a different set for appointments contributes to a clearer and more organised agenda without needing to add additional text in each record.
Exploring other available list types
The dropdown menu located at the top allows switching between different categories of lists available for configuration. Follow-up types represent only part of the set.
Among the configurable lists are options related to:
• Property statuses.
• Languages.
• Contact methods.
• Real estate portals.
• Operations.
This dropdown provides easy access to the different list categories that the agency can review and customise in its configuration.
Customising contact methods and real estate portals
Contact methods are fundamental to record the origin of each commercial opportunity and the channel through which the relationship with the client begins. Besides standard options, the platform allows adding customised methods that fit the specific channels used by the agency.
For example, if the agency uses a tool, platform, or proprietary channel not listed among the default options, it is possible to create a new contact method to identify it correctly and maintain traceability.
Regarding real estate portals, the list can include options such as:
• Idealista.
• Fotocasa.
• Cartel.
• Other portals or customised channels used by the agency.
Recording this information in an organised and standardised way helps the entire team maintain homogeneous criteria when entering data into the CRM, improving database quality and follow-up effectiveness.
Lists linked to operations and management of internal values
There are also lists related to commercial operations. In some cases, certain options will not be available for modification as they are part of the system's internal and essential structure.
When an action cannot be performed on a specific element, Inmovilla will display an explanatory notice to inform the user. Nevertheless, the Lists section allows consulting all existing values and verifying which configurations are enabled for each, offering transparency and control.
A configuration designed to optimise the agency's daily work
The Lists section is designed so that Inmovilla faithfully reflects the agency's real operations, preventing the team from dealing with unnecessary or irrelevant options that could hinder their work.
Efficient configuration consists of keeping visible only the values that are regularly used, hiding those that do not add value, and making the most of icons and colours to facilitate quick identification of each activity type.
These decisions, although seemingly small, significantly contribute to clearer follow-ups, a more visual agenda, and information recorded by the team that is more homogeneous and easier to interpret, favouring more productive and organised management.
